EVLA Stay Ltd (“EVLA Stay”, “we”, “us”, “our”) operates the self-catering holiday rental TREALLEN ROCK in Rock, Cornwall, and the website www.evlastay.com. We are the data controller for the personal data described in this policy.

2. The Personal Data We Collect

We collect the following categories of personal data:

  • Booking and guest details — name, postal address, email address, phone number, number of guests, arrival and departure dates, and any special requests you give us directly.

  • Booking platform data — when you book via Airbnb, Booking.com or Vrbo, that platform shares your name, contact details and booking details with us so we can prepare for and manage your stay.

  • Payment information — where you pay by bank transfer or via Stripe, we receive confirmation of payment; we do not store full card numbers ourselves. Where you book through Airbnb, Booking.com or Vrbo, payment is handled by that platform under its own terms.

  • Website and marketing data — pages visited, device and browser information, and interactions with our ads, collected via Google Analytics, Wix's built-in analytics, Google Ads remarketing tags and the Meta (Facebook/Instagram) pixel.

  • Newsletter and marketing list — name and email address if you sign up to our mailing list via our Wix website.

  • CCTV footage — images from CCTV operating at the property (see Section 6).

  • Correspondence — emails, messages and call records when you contact us directly or through a booking platform.

3. How We Collect Your Data

  • From third-party booking platforms (Airbnb, Booking.com, Vrbo) when you book a stay through them.

  • Automatically, through cookies and similar technologies when you visit www.evlastay.com.

  • From our website host, Wix, which provides bookings, analytics and mailing list functionality on our behalf.

4. How and Why We Use Your Data

We use your personal data for the following purposes, on the legal bases shown:

  • To take and manage bookings, arrange check-in/check-out and provide customer service — performance of a contract with you.

  • To process payments and keep accounting and tax records — performance of a contract and legal obligation.

  • To respond to enquiries and correspondence — legitimate interests in running our business.

  • To operate CCTV for the security of the property and its occupants — legitimate interests in protecting people and property.

  • To send you marketing emails if you have signed up to our mailing list — consent, which you may withdraw at any time.

  • To run Google Ads and Meta/Facebook advertising, including remarketing to past website visitors — consent, obtained via our cookie banner.

  • To understand how our website is used and improve it, via Google Analytics and Wix Analytics — consent, obtained via our cookie banner.

  • To comply with our legal and regulatory obligations, including in relation to guest safety and tax.

5. Cookies and Similar Technologies

Our website, built on Wix, uses cookies and similar technologies, including:

  • Essential cookies required for the website and booking functionality to work.

  • Wix's built-in analytics cookies, used to understand website traffic.

  • Google Analytics cookies, used to measure website usage.

  • Google Ads remarketing cookies, used to show relevant ads to past visitors on other sites.

  • The Meta (Facebook/Instagram) pixel, used to measure and target advertising on Meta platforms.

Non-essential cookies are only set with your consent, given via the cookie banner on our website. You can change or withdraw your consent at any time through that banner or through your browser settings. Blocking essential cookies may affect the booking functionality of the site.

6. CCTV at TREALLEN ROCK

For the security of the property and the safety of guests and staff, CCTV cameras operate at TREALLEN ROCK covering exterior areas and points of entry only. Cameras are not placed inside bedrooms, bathrooms, or other private indoor spaces. Footage is used solely for security and incident-investigation purposes, is retained for a limited period, and is only accessed by authorised staff or, where necessary, law enforcement.

Key collection at the property is via a physical key lock box; this is a mechanical process and does not itself involve any data collection.

7. Who We Share Your Data With

We share personal data with the following types of recipients, only as needed for the purposes above:

  • Booking platforms — Airbnb, Booking.com and Vrbo, where you book through them.

  • Payment processors — Stripe and our bank, to process payments.

  • Website and IT service providers — Wix (website hosting, bookings and mailing list), Google (Analytics and Ads), and Meta (advertising).

  • Housekeeping, maintenance and other contractors, where they need limited details (e.g. arrival dates) to prepare the property.

  • Professional advisers, regulators and authorities, where required by law or to protect our legal rights.

We do not sell your personal data to third parties.

8. International Data Transfers

Some of our service providers (including Wix, Google and Meta) may process data outside the UK. Where this happens, we rely on their compliance with recognised safeguards, such as the UK's International Data Transfer Addendum or equivalent adequacy arrangements, to ensure your data remains protected.

9. How Long We Keep Your Data

  • Booking and guest records: retained for as long as needed for accounting, tax and legal purposes (typically up to 6 years after your stay).

  • CCTV footage: retained for a short period (typically no more than 30 days) unless needed for an ongoing investigation or legal claim.

  • Marketing list data: retained until you unsubscribe or ask us to delete it.

  • Website analytics and advertising data: retained according to the default periods set by Google Analytics, Google Ads and Meta, or until you withdraw consent.

10. Your Rights

Under UK data protection law, you have the right to:

  • Access the personal data we hold about you.

  • Ask us to correct inaccurate or incomplete data.

  • Ask us to delete your data, in certain circumstances.

  • Ask us to restrict or object to certain processing, including direct marketing.

  • Ask for your data to be provided to you or another organisation in a portable format.

  • Withdraw consent at any time, where we rely on consent (e.g. marketing emails, non-essential cookies).

11. Marketing Communications

If you have signed up to our mailing list, we will send you emails about offers, availability and news from EVLA Stay. Every marketing email includes an unsubscribe link, or you can email info@evlastay.com at any time to opt out. Opting out of marketing will not affect service communications relating to an existing booking.

12. Children's Privacy

Our website and services are intended for adults arranging holiday bookings. We do not knowingly collect personal data directly from children. Where children stay at the property as part of a guest party, their details are provided to us by the adult making the booking.

13. Data Security

We take appropriate technical and organisational measures to protect your personal data, including relying on the security measures provided by Wix, Stripe, Google and Meta for the services they provide us. No method of transmission or storage is completely secure, but we work to protect your data against unauthorised access, loss or misuse.

14. Changes to This Policy

We may update this policy from time to time, for example if we change how we collect or use data, or add new services or tools to our website. The “Last updated” date at the top of this page shows when it was last revised. We encourage you to review this page periodically.
